The Administrative Assistant

The Administrative Assistant performs a wide range of executive administrative tasks and assignments for you. This level is great for busy executives who just need a little more leverage and support on the items that are important, but not a good use of their time.
Types of Tasks and Assignments:
- Calendar and Scheduling Management : Manage calendars, set-up and confirm meetings and schedule appointments.
- Expense Reporting Management: Reconcile expenses.
- Travel: Booking airfare, hoteling, car service, itineraries.
- Project Coordination: Assist with the planning, organization and execution of various projects. Monitor deliverables and deadlines.
- Data Entry and Record Keeping: Maintain databases, update spreadsheets, manage documents in cloud storage systems such as: Google Drive, Box, Dropbox, etc.
- Document Preparation: Draft, proof and edit letters, reports, create presentations, handle invoicing and prepare contracts or other official documents.
- Customer Service: Engage with customers via email, chat, or phone, responding to questions, handling assignments, or providing information as needed.

The Executive Assistant
Extension of You | 1-month* minimum contract | Hours as needed
* Time commitment to build a relationship with you and a deep understanding of the company’s operations and culture.
In addition to the tasks performed by the Administrative Assistant, the Executive Assistant is an elevated role and is an extension of you to level up and elevate your performance. This level is great for busy executives who want the leverage and delegate parts of their role to a trusted partner.
Types of elevated Assignments:
- Extension of You: Serve as a direct point of contact for executives, making decisions on behalf of the executive when necessary. Act as a gatekeeper and ensure schedules and priorities are efficiently managed.
- Email Management: Respond to emails on the executive’s behalf, follow-up and manage priorities.
- Board Support: Manage board meeting logistics and document preparation such as: agendas, reports, officer lists, resolutions, board committee charters, orientation documents, etc.
- Executive Search & Onboarding: Create executive-level job descriptions and job postings. Review candidate resumes, schedule and conduct interviews and support onboarding efforts.
- Corporate Communications: Proof and edit internal company communications from the executive's office.
- Confidential Documents: Handle and prepare complex, high-level documents, business and strategic plans, corporate policies, etc.
- Personal Tasks: Gift procurement for customers, employees and/or personal network. Family holiday cards, personal notes. Some personal project management (ex. oversee and scheduling of home repairs, property lease management, vendor search, etc.).

- ESOP Communications: Develop and create ESOP content and communications to cultivate and drive employee engagement, keeping the Company's core values at the forefront. ESOP internal branding, educational content, ESOP Ownership Month activities, etc.
- Graphic Design: Create corporate, company graphics including – branding (logo, business cards, memo and letterhead), informational graphics, presentations, internal and external communication graphics, etc.
- Social Media: Manage company social media through content creation, engagement posts, monitoring and responding to messages, data analytics, etc.

In addition to the tasks performed by the Administrative Assistant and Executive Assistant, the Chief of Staff is your executive confidant – your go-to person to share, discuss and strategize business matters to leverage an outsider prospective. This role is broader and more influential, focusing on helping you align organization’s goals, manage projects and implement high-level initiatives. This level is great for ultimate partnership and having someone who can perform at an advanced level.
Types of high-level Assignments:
- Your Trusted Advisor and Confidant: A confidant and sounding board for the executive providing an outsider perspective and level of trust that may not be afforded internally.
- Extension of You: Serve as a direct point of contact, making decisions on behalf of the executive when necessary. Act as a gatekeeper and ensure schedules and priorities are efficiently managed.
- Executive Communications: Write and prepare high-level internal and external communications (memos and company updates, letters to customers, partners and stakeholders, etc.).
- Board Support: Prepare CEO/C-Suite executive board reports, record meeting minutes and manage board governance.
- Confidential Documents: Draft and create complex, high-level documents, corporate policies, organizational charts, etc.
- Management Incentive Plan Administration: Administrate executive-level management incentive plans such as synthetic equity plans – Stock Appreciation Rights (SAR) and Phantom Stock.
- Succession Planning & Retirement Support: Create succession plans and timelines for c-suite executives to ensure a smooth, seamless and successful transition into retirement.
